Remote Notary Course (a subsidiary of Ze Animation Studios Inc.) is committed to protecting your privacy and providing transparent terms regarding our education portal, California Notary Public Directory, digital credentials, and related services. By accessing or using this website, you agree to the terms outlined below.

1. Information We Collect

We collect and process data across multiple functional areas of our platform:

• Education & Mandatory Certification: Full legal name, mailing address, email, phone number, and existing commission details (for renewals/refreshers) required to verify identity and issue official Proof of Completion certificates.
• Directory Claims & User Profiles: Contact phone numbers, public business emails, office physical addresses, bio/specialty descriptions, and account login identifiers submitted voluntarily during profile claiming or account registration.
• Technical & Session Data: IP addresses, browser user-agent strings, geolocation coordinates (requested solely for local weather widget rendering), and verification cookies used for rate-limiting, anti-scraping security, and checkout routing.

2. Public Record Directory Data & State Disclaimer

Our California Notary Public Directory ingests and indexes public record filings published by the California Secretary of State (CA SOS). This includes notary public names, commission numbers, county jurisdictions, business addresses, and active/expiration dates.

• Non-Governmental Entity: Remote Notary Course is a State Approved Notary Public Private Education Provider. Our public directory, search tools, and status checks are independent commercial services and are not issued, owned, or endorsed by California Secretary of State.
• Automated Data Syncing: Directory listings are updated periodically against public records. Commission statuses (Active, Expired, Flagged, Revoked, Suspended) reflect State Publication feeds and public verification lookups.

3. Profile Verification & User-Submitted Public Data

To claim or modify a directory profile, users must complete One-Time Passcode (OTP) email verification. Disposable email addresses and invalid domains are strictly prohibited.

Any additional contact details submitted during profile claiming (including public phone numbers, office suites, public emails, and services offered) become publicly accessible on our directory pages and within generated digital ID passes. You are responsible for ensuring that all self-submitted data complies with state business filing guidelines.

4. Digital Wallet ID Passes (Apple & Google Wallet)

Our platform enables active notaries to generate digital credentials formatted for Apple Wallet (.pkpass) and Google Wallet (RS256 signed JWTs).

• Non-Official Credential: Digital Wallet passes are issued as networking, convenience, and marketing credentials only. Under California Law, a digital pass does not substitute for your official physical Notary Commission Certificate, Notary Stamp/Seal, or mandatory Notary Public Journal.
• Third-Party Integration: Pass creation transmits public commission metadata to Apple Wallet and Google Wallet infrastructure in accordance with their respective mobile platform terms.

5. Subscriptions, Payments, & Search Limits

We provide both free and paid service tiers (including one-time pass generation, Notary Pro, and Agency plans):

• Billing & Processing: Paid transactions are processed securely through certified payment gateways (Stripe and WooCommerce). We do not store, view, or process raw debit or credit card details on our servers.
• Subscriptions & Cancellations: Recurring monthly memberships (e.g., $4.99/mo or $7.99/mo) can be managed or canceled at any time prior to the next billing renewal cycle.
• Usage Controls: To prevent abuse, data harvesting, and unauthorized scraping, we enforce automated rate limits on search queries and OTP verification requests per IP address.

6. Communications & Automated Marketing

• Transactional Messages: Account verification codes, administrative security notices, order receipts, and pass download links are sent via transactional email.
• Educational & Upgrade Follow-Ups: Users who claim free profiles or enroll in courses may receive automated educational reminders and platform upgrade notices. Every automated marketing email contains a direct unsubscribe mechanism.
• Direct Mail Notifications: We compile periodic public expiration notices to dispatch direct-mail commission renewal reminders to active notaries approaching their 90-day expiration window.

7. Third-Party Integrations & Widgets

Our portal may load auxiliary widgets via third-party application interfaces (APIs), including OpenWeatherMap (local weather), NewsAPI (state news feeds), and Finnhub (market indices). These services process anonymized, client-side requests and do not receive private student or customer records.

8. Mandatory State Reporting & Data Retention

Per California Secretary of State education regulations, we are legally required to report course completion rosters to the state. Records of official course completions must be retained for a mandatory minimum period of two (2) years. Your right to request deletion under the CCPA is subject to these mandatory statutory record-keeping requirements.

9. Directory Removal & Profile Opt-Out Requests

Commissioned notaries may request the removal, suppression, or correction of self-submitted custom profile details (phone numbers, bios, or business emails) at any time by contacting our administrative team. Base public record commission records remain governed by official California public disclosure mandates.
